RETPONSIBILIT:E$ OF THE AGENCY <br />By entering into thle Memorandqm of Understanding iMOU), Kittitas County $heriffs Office {"the Agency")agrees to <br />uptrotU the following responsibilities to ensure appropriete use, ovetsight, end coordination telated to the Simply <br />Heport platform. These responsibiliiies are sssentialto safeguarding the lntegrlty of the system, prctecting survivor <br />infdrmation, and enhancing the effectivansss of law enforcernent response io suspected human trafficking. <br />6.1. DEsignate a Point of Contact (POC) <br />The Agency ehall deslgnate a prlmary Polni of Contact (POC) who wlll be tesponslble for: <br />r Approving or denying user accsss requests within he agsncy;r Verifolng lhat each user has a legitimale, role-basod nesd for ac€eEs; <br />e Ensuring that users complate all requlrd tralning prior to activatlon;r Maintalning a curront rostor of active users;r lmmediately notifuing Safe House Frdect of any changes in user status, such as reassignmenl, resignation, <br />terminaUon, or any reason a user should no longer have acoess. <br />The POC shall serve as the liaieon between the Agency and Safe House Ptoject on all matters related to system <br />access, user overslght, and operallonal coordlnatlon. <br />0,2. Ensure Appropriate Ueer Reglstration and Role Asslgnment <br />The Agency shall ensure that: <br />r Only employees with a dirsct need to aceess the platform based on thelr asslgned duties are granted <br />acce8$;r Users are registered with accurate information including fullname, title, agenepissued email address, phone <br />numbgr, a*d role;. Access levels are assigned based qn function:o lnvestigator.Level Access for trose conductlng or directly supporting lnvesfigaffons;o State Hotllne-Level Accese for non'investlgatlve personnel needing redacted information fol <br />adminlstative or analyllcal purposes; <br />o Each user maintains individual credentiels--shared or generic logins are prohlbited. <br />6.3. Promote Accurate end Ethlcal $ystem Use <br />TheAgency shall: <br />r Direct all authorized usars to acce$s and use the platform stricfly within the bounds of their assigned role <br />and Jurisdiclion;r Require users to log investgative activity and updatos uslng the Notes sectlon when actively followlng up on <br />a case;r Encourago use of the Dispooition ffeld to provlde resclution status and suppod deconfllctlon wilh other <br />agencles;r Prevent and prohibit unauthotized use, sharing, or reproduction of system data. <br />6.4, Protect Confidentiall$t and $urvivor Data <br />The Agency agrees to: <br />r Treat all information acceesed through Simply Report as confidential and sensitive; <br />r Prohibit extemal sharing of repsd content, including Pll, attachments, and invostigatlve delalls; <br />r Ensure that users understand and respect survivor autonomy and consent protocols, partlcularly ln relatlon <br />io Pll that is visible only when voluntarlly shared by the reporter;r Prevent lmproper use of platform data for evidentiary or legal proceedings unless independently <br />corroborated ouiside of Simply Report.
