This includes reviewing supplies such as bedding, hygiene kits, food items, cleaning <br />products, and operational supplies (e.9., batteries, first aid kits). <br />Restocking: Based on the assessment, necessary orders are placed to ensure that all <br />critical items are available when the shelter begins operation. <br />Ongoing lnventory Monitoring <br />Dailv Monitorins: The CWS Coordinator monitors inventory levels daily to ensure <br />essential items are consistently available. Any immediate shortages should be logged and <br />communicated. <br />Monthlv lnventorv Review: A more detailed review of stock levels is performed weekly, <br />with an updated report provided to the Program Manager. This review helps identify <br />trends in usage and informs timely reordering of supplies. <br />Ordering and Replenishment <br />Supplier Coordination: The Program Manager oversees ordering and coordinates with <br />suppliers to replenish items based on inventory reports. For in-kind donations such as <br />food or hygiene items, the Program Manager also works with donors and community <br />partners to maintain supply flow. <br />Monthlv Restock: The Coordinator will report the inventory list to the Program Manager <br />and obtain approval and credit card from Program Manager to make the restock <br />purchase. These purchases should be made with price, quality and performance in mind. <br />Amazon Wish List: ltems on the Amazon Wish List are tracked se parately. As donations <br />arrive, the CWS Coordinator logs them into the inventory system and ensures they are <br />properly stored. <br />Ad Hoc Needs: lf an item is depleted before the monthly restock, the coordinator will take <br />note during the morning shift and alert the Program Manager. The manager will then <br />approve and either make the purchase or provide a credit card for the coordinator to <br />make the necessary purchase. These ad hoc requests should be irregular. <br />lnventory Tracking and Documentation <br />lnventorv Log: A centralized inve ntory log is maintained to track the usage and <br />replenishment of all items.
