Donation Trackins: All donated item s, whether from individual donors or community
partners, are recorded in the inventory system, ensuring accurate tracking of incoming
donations and timely distribution to guests.
Storage and Organization
Designated Storage Areas: Supplies are stored in designated areas within the shelter to
ensure easy access and organization. Food items are stored separately in compliance with
food safety regulations, while hygiene and bedding items are organized in clearly labeled
a reas.
First-ln. First-Out Svstem: To minimize waste, supplies are distributed based on the FIFO
system, ensuring that older items are used before newer stock.
V. Partnerships and Colla borations
Commu nitv Partnershi ps
The goal of coordinating services with external organizations is to ensure that community partners
have a physical presence at CWS, providing direct services to guests. The Program Manager is
responsible for overseeing the scheduling and logistics of these partnerships. Below is a
streamlined process for coordinating these services.
Partner ldentification and Outreach: Engage with community organizations that align with the
needs of CWS guests (e.g., healthcare providers, housing assistance, mental health professionals).
The Program Manager identifies potential partners and initiates outreach, explaining the
opportunity for them to have a regular onsite presence at CWS.
Define Service Offerings: Clarify what services each partner will provide to guests and how
frequently they will be available. The Program Manager collaborates with each partner to outline
their services (e.g., health check-ups, case management, job placement), agreeing on the
frequency, duration, and times for their onsite visits.
Schedule Development: A monthly schedule is developed, allocating specific times for each
partner to be present onsite. The schedule must align with CWS operational hours and provide an
even distribution of services across the week.
Communication and Coordination: The Program Manager confirms logistics with each partner
(e.g., timing, space allocation, equipment needs). Communication with CWS staff and volunteers
is crucial to ensure they know when services will be available for guests. Notices should be posted
in common areas to inform guests about available services.
Version last reviewed on {date}
18
