ALt backup must be submitted by the Last day of the month foilowing the catendar <br />month in which services were detivered' <br />C. The Contactor must provide adequate backup documentation to support each <br />reimbursement request. This inciudes a generaI l,edger f rom the financtaI <br />accounting system detail.ing transactions and expenditure dates for attowable <br />activities within the period of performance. PayrotL expenses must show hourty rate' <br />number of hours, totaI pay, and project code. Benefits can be one [ine item but <br />shouLd inctude project code. Non-payroLl. direct expenses must incl,ude a copy of <br />the receipt or payment invoice. Direct cl.ient expenses where there is no invoice or <br />receipt must incl.ude the check number or voucher number for etectronic payments <br />used to process the payment. Any costs paid for via the program support pool must <br />show the amount biLl.ed and be in accordance with the program Support pootrates <br />on fil.e with the Kittitas County Auditor's Office. Quarterly, the County will' request a <br />sampLing of pool. invoices and test them in accordance with the pooL rates to ensure <br />compttance. The County reserves the right to request additional' invoices at any time <br />if noncomptiance is suspected. Payments to subcontractors must be [isted as a <br />specific Line item per subcontractor' <br />D. Al,l, invoices must incl.ude invoice date and an invoice number. <br />E. Al.l. invoices must atso be accompanied by an updated contractor spending Form, <br />as provided by Kittitas County, to ensure that bil'Ling record keeping matches <br />CountY records. <br />F.
