<br />RFP TIMELINE <br />December 16, 2025 Issuance of RFP <br />December 18, 2025 RFP advertised <br />January 15, 2026 – 5:00PM Deadline for the Submission of Proposals <br />January 16, 2026 – 9:00AM KVEC open Proposals and review <br />January 26, 2026 – 10:00AM Kittitas County Board of Commissioners awards bid <br />and authorizes purchase <br /> <br />Kittitas County reserves the right to modify this schedule as it deems necessary. <br /> <br />SUBMITTAL DEADLINE DATES <br />All Proposals must be submitted no later than 5:00 p.m. on January 15, 2026 in one of the <br />following ways: <br />1. Mailed in a sealed envelope or hand delivered in a sealed envelope to the address listed <br />above. Envelope should be plainly marked as: 'PROPOSALS – “Rodeo Timed Event <br />Pens", and addressed as follows: <br />Event Center Director <br />Kittitas Valley Event Center <br />901 E 7th Ave, Suite 1 <br />Ellensburg, WA 98926 <br /> <br />2. By email to kady.porterfield@co.kittitas.wa.us with subject line reading: 'PROPOSALS <br />– “Rodeo Timed Event Pens " <br /> <br />Note: Proposals received by fax will not be considered. Interested parties and their agents and <br />representatives are directed not to contact or lobby members of the Board of County <br />Commissioners of Kittitas County or KVEC staff members regarding this invitation. <br /> <br />SCOPE OF WORK <br />The selected contractor will provide design, materials, and installation for the cattle pen area and <br />timed event roping set up per the following requirements: <br />1. Design <br />o The design must encompass the area within the gray boundary lines, just inside <br />the red markings indicated on the attached site plan – Attachment A. Attachment <br />B shows a conceptual design idea and requests by the Ellensburg Rodeo Board to <br />provide specification on operational needs such as gate placement, number of <br />pens desired, and more. <br />o We will accept a design that closely meets the conceptual ideas in Attachment B <br />as well as a design that is better suited or suggested in the Bidder’s professional <br />opinion and expertise. It is the Bidder’s choice to include an Option A and Option <br />B for consideration. <br />o If awarded the bid, the contractor must be willing to revise the design and adjust <br />materials as needed based on feedback from the Kittitas Valley Event Center and <br />Ellensburg Rodeo Board prior to finalizing the design and procuring materials.
