Document the lncident: After the situation is resolved, staff should document the emergency <br />through the incident report on the HopeSource SharePoint homepage and report it to the <br />Program Manager for follow-up and record-keeping. <br />Extreme Weather Emergency Procedures <br />ln the event of extreme weather, such as ablizzard, at CWS, staff and volunteers should follow <br />these steps to ensure the safety and well-being of all: <br />Monitor Weather Alerts: Stay updated on severe weather warnings from local authorities and <br />weather services. <br />Shelter in Place: lf a extreme weather is imminent or o ngoing, ensure that all guests, staff, and <br />volunteers remain inside the shelter. Restrict movement in and out of the shelter unless <br />absolutely necessary for safety. <br />Secure the Shelter: Close all windows, doors, and entry points to block cold air and snow. Ensure <br />the heating system is functioning and prepare the shelter for an extended stay. <br />Ensure Guest Comfort: Distribute extra blankets, warm beverages, and clothing. Monitor <br />vulnerable guests for cold-related conditions like hypothermia. <br />Maintain Emergencv Supplies: Confirm the availability of adequate food, water, medications, and <br />other essentials. Prepare for the possibility of extended sheltering if the storm persists or <br />transportation services are disrupted. <br />Stav in Communication: Keep open lines of communication with local emergency services and <br />shelter leadership. Provide guests with updates on the weather situation and expected shelter <br />conditions. <br />Transportation Challenges and Coverage: <br />Staff Contingencv Plan: lf transportation becomes difficult, implement a contingency plan to <br />ensure staff coverage. Prioritize having key staff stay overnight at the shelter, if necessary, to <br />maintain operations. <br />Volunteer Support: ln case staff cannot arrive due to weather conditions, seek help from <br />volunteers who are already onsite or nearby.
