Document the Incident: After the situation is resolved, staff should document the emergency
through the incident report on the HopeSource SharePoint homepage and report it to the
Program Manager for follow-up and record -keeping.
Extreme Weather Emergency Procedures
In the event of extreme weather, such as a blizzard, at CWS, staff and volunteers should follow
these steps to ensure the safety and well-being of all:
Monitor Weather Alerts: Stay updated on severe weather warnings from local authorities and
weather services.
Shelter in Place: If a extreme weather is imminent or ongoing, ensure that all guests, staff, and
volunteers remain inside the shelter. Restrict movement in and out of the shelter unless
absolutely necessary for safety.
Secure the Shelter: Close all windows, doors, and entry points to block cold air and snow. Ensure
the heating system is functioning and prepare the shelter for an extended stay.
Ensure Guest Comfort: Distribute extra blankets, warm beverages, and clothing. Monitor
vulnerable guests for cold -related conditions like hypothermia.
Maintain Emergency Supplies: Confirm the availability of adequate food, water, medications, and
other essentials. Prepare for the possibility of extended sheltering if the storm persists or
transportation services are disrupted.
Stay in Communication: Keep open lines of communication with local emergency services and
shelter leadership. Provide guests with updates on the weather situation and expected shelter
conditions.
Transportation Challenges and Coverage:
Staff Contingency Plan: If transportation becomes difficult, implement a contingency plan to
ensure staff coverage. Prioritize having key staff stay overnight at the shelter, if necessary, to
maintain operations.
Volunteer Support: In case staff cannot arrive due to weather conditions, seek help from
volunteers who are already onsite or nearby. Ensure they are briefed on essential shelter duties.
Coordination with Local Emer enc Services: Contact local authorities or emergency services to
inquire about transportation assistance, such as snowplows or emergency vehicles, for critical
staff or guest needs.
13
Version last reviewed on {date}
