from the inactivity screen lock requirement.(CJIS 5.9 §5.5.5) <br />7.4.8 Transportationof eeuntyCounty data <br />Employees are responsible for protecting that-data and media under their control from loss, <br />misuse,destruction,theft,unauthorized access,and environmental hazards. <br />7.4.8.1 Physical transportation <br />Physical transportation of data is defined as copying data to removable media.Physical <br />transportation may only occur on eeunty-County equipment. <br />1.Employees will ensure that sensitive-confidential data (een-pub4eally <br />availableCategory 3 and 4 [link to 7.4.101)transported on any portable storage <br />device (not limited to USB flash memory,portable hard drives,laptops,CDs,DVDs) <br />are encrypted.IT will provide tools and assistance for encryption.--(CJIS 5.9 § <br />5.10.1.2.1) <br />2.Upon tennimationseparation,employees must decrypt any encrypted data or disclose <br />encryption passwords to their supervisor. <br />3.Portable storage devices must be stored in a secure location when not in use. <br />4.Environmental hazards to hardware,such as food,smoke,liquids,high or low <br />humidity,direct sunlight,magnetic fields,and extreme heat or cold,must be avoided. <br />7.4.8.2 Electronic transportation <br />All confidential information (Category 3 and 4 [link to 7.4.10])must be encrypted when <br />transported across any unsecured network (e.q.,email,the Internet,any non-County <br />network)or outside a physically secure area. <br />(Gd‡SCJIS 5.9 §§5.8.2 and 5.10.1.2) <br />7.4.9 Destroying and erasing media <br />Destruction of physical media means to damage the media making its data unreadable and <br />unrecoverable by any means.Erasing media means making data unrecoverable. <br />1.After backup media has passed its overwrite protection period it may be destroyed, <br />erased,or overwritten by IT-staff,and will not be searched for data. <br />2.Hard drives and removable media will be erased or Best PracticedestroyedbyITbeforebeingremovedfromeeunty- <br />inventory.At the time of erasing or destruction,IT will Verify with the vendor before theydocumentdateandmethodofdestructionintheasset's.arrive onsite to take the device thatinventoryrecord.they can provide this service. <br />3.When-Before computers or storage media are Fetamed- <br />redeployed or removed from County control (unless Make sure copier contracts forrequiredbyastateaqency)'purchase of the device provides fortheywillbeerasedandthedateandmethodwillbe.this removinq or erasinq the drivedocumentedintheasset's inventory record..onsite before purchasinq the copier.4_Optical disks (including software)will be destroyed when <br />removed from eeunty-inventory.Documents containing license information must also <br />be destroyed. <br />33
