It appears that having a vast number of permits in our tee schedule is resulting in the
workforce not tracking time correctly. We learned two years ago that by reducing job
codes in maintenance, we did not lose any budgeting data and received much better and
consistent data from the workforce. We propose combining numerous land use reviews
into a single permit with a common base fee (a preset number of hours included for the
base) and then tracking the time above and beyond the base fee hour allotment and billing
this additional time directly to the permittee. Finance has gone back and mined the data
from the consultant software developing a blended hourly rate for the base fee. We are
problem solving any issues within SMART GOV as it relates to association with
CAYENTA.
FISCAL IMPACTS:
Data affirms that we are under collecting for numerous PW permits.
ATTACHMENTS:
Exhibit 1: Existing permit listing
Exhibit 2: Proposed permit listing
Public Works "Work Session Staff Report", 2021
