KITTITAS COUNTY <br />DEPARTMENT OF PUBLIC WORKS <br />PUBLIC WORKS — BOARD OF COUNTY COMMISSIONERS <br />STUDY SESSION STAFF REPORT <br />STUDY SESSION DATE: June 10, 2019 <br />TOPIC: Fleet Management Software Purchase and Telematics Integration <br />ACTION REQUESTED: Support Staffs request to integrate fleet management <br />software including the integration of telematics. <br />LEAD STAFF: <br />Liz Remeto <br />RECOMMENDATION: <br />Support staffs request to integrate fleet management software in 2019 <br />BRIEFING SUMMARY: <br />• PW ER&R division has been looking for fleet management software for the last <br />two years or more. <br />• PW ER&R Mechanic Shop is paper heavy and information is difficult to analyze. <br />• Repair communication between Mechanic Shop and Operators is substandard. <br />• Equipment maintenance is untimely. <br />• Part needs are not known to a level to allow bulk purchases. <br />BACKGROUND: <br />A study has been completed as it relates to fleet management software and telematics <br />(GPS) solutions. Via the study, it was found that other government localities in <br />Washington are already strong in their usage of fleet management software and <br />telematics. Kittitas County Public Works is still old school with paper files. Moving <br />from the use of Cayenta (a financial system) to an actual fleet management system at <br />approximately the same cost will allow us to integrate telematics (GPS) and this <br />integration and software will lead to efficiencies within the ER&R division. <br />DISCUSSION: <br />Moving from the use of Cayenta (a financial system) to an actual fleet management <br />system at approximately the same cost will allow us to integrate telematics (GPS). This <br />type of integration allows for equipment maintenance issues to be telecast to the fleet <br />management system and captured into work orders. This will allow the equipment to be <br />maintained on a tighter schedule extending the life of the equipment. Having a fleet <br />management system will allow for bulk part purchases, and scheduled maintenance that <br />does not impact the road maintenance schedules.
