Furthermore, in the event of termination under this paragraph, Contractor shall bear the costs of any extra expenses incurred by the County in completing the work, and all damages sustained, or which may be sustained, by the County. d. As a crucial part of our community's efforts to bolster tourism and enrich our local culture, we are excited to outline the specific goals and priorities of the Consolidated Lodging Tax Committee for the upcoming year. Our committee is dedicated to supporting events that not only draw visitors to our community but also contribute to its long-term vitality and prosperity. To this end, we are particularly focused on the following criteria for 2026: Off-Season Events: We are eager to fund events that take place during off-peak times, as these have the potential to stimulate economic activity during typically slower periods. Priority will be given to proposals for new events that diversify our community's offerings and attract visitors throughout the year. Uniqueness of Event: We seek events that stand out for their originality, creativity, and distinctiveness. Whether through innovative programming, cultural significance, or immersive experiences, we are interested in supporting events that capture the imagination and leave a lasting impression on attendees. Community Support and Strategic Alignment: It is essential that funded events have a tangible impact on the community in which they are held and align with its strategic goals. We encourage applicants to demonstrate how their event will contribute to local businesses, promote cultural exchange, or enhance community well-being, among other objectives. Emphasis on Tourism from Outside the 50-Mile Radius: Proposals should outline strategies for marketing and outreach to attract visitors from neighboring regions and beyond, thereby maximizing the economic and cultural benefits of the event. These events typically attract 50+ teams with over 50% of families coming from outside of a 50 mile radius. A typical basketball team consists of 10 families and 12 for a baseball team. Events are typically held Saturday & Sunday with occasional games being played on Fridays. 2500 character limit Note: You MUST be present at the Q&A meeting to qualify for funding. https://drive.google.com/file/d/1mtFr5n26yiOdjsUiX17B7rAtGngmWJLG/view Response 1.3: List of Intended Use of Funds * Note: This language will be related in the contract if awarded. To a place fifty miles or more away from their place of residence or business for the day or staying overnight; 3. Or from another country or state outside of their place of residence or business. You must provide the evidence utilized in determining your projections. Response 2.1: Why would tourists travel to Kittitas County to attend your event/activity/facility?* Tourists would travel to our event to participate in a quality baseball event in a central location attracting teams from both sides of the state. We use our extensive network along with advertising and promotions to draw teams to the Kittitas Valley. The feedback on the quality of Rotary Park along with how much families enjoy the town of Ellensburg seems to be a driving force for successful events. As for basketball events, we mainly utilize the SURC and families love the location and being on the college campus. 2500 character limit 3| Impact Response 3: Describe how you will promote your event/activity/facility to attract tourists.* 4| Collaboration Response 4.1: If your organization collaborates or has created partnerships with other organizations, groups, or other events, how is this accomplished?* Response 4.2: Describe how you will promote lodging establishments, restaurants, and business located in Kittitas County * Response 4.3: Is there a host hotel for your event or grant project? If yes, list the hotel.* 5| Future Plans Response 2.2: Describe the prior success of your event/activity/facility to attract tourists.* Our tournament brand has grown year over year for baseball. in 2022 we hosted 3 small events with around 30 teams per weekend. In 2024 we added 5 basketball tournaments that had 50 teams on average as well as a 3v3 basketball tournament and a soccer tournament that we partnered with the Pumas in order to provide a local option for local families. We have 4 Washington State Basketball State Qualifying events that attract basketball teams from all over. In 2026, we project to have over 450 baseball teams and 350 basketball teams visit the Kittitas Valley to participate in our events. 2500 character limit Application Questions: Part 2 We promote our events on our website, our mobile app, to our email database of over 20,000 families and 1,000 coaches / teams. We also make consistent posts in Northwest Travel Baseball amongst other prevalent baseball groups on Facebook. We also use meta paid ads to target specific regions of the PNW. For basketball, we have sanctioned our events with AAU which has helped attract contacts throughout the Inland Empire database. Our primary business is based on the I5 corridor where we run over 40 events 8-18u with consistently over 100 teams per weekend. We leverage this database to attract both baseball and basketball teams to Ellensburg. 2500 character limit Application Questions: Part 3 Ellensburg Youth Baseball and Softball. The baseball tournaments we run at Rotary allows for the EYBS program to generate revenue through concessions. This has proven to be a significant amount year over year. We have a partnership with RIS3 Academy and Hoops 4 Hearts / Iron Horse Brewery where we ran a 3v3 basketball tournament to raise funds and awareness about congenital heart disease. **Not Secured** but have had discussions about partnering up our baseball tournament the same weekend as the Bares and Broncs event to bolster their attendance and provide an attraction / event for our families this weekend. We sponsor teams for EYBS, we sponsor the rodeo. We have collaborated with the Kittitas County Cowboys to provide free tournaments in exchange for some field work in order to keep local kids playing for cheap and not having to travel to find competitive baseball. We collaborated with Cle Elum Basketball in 2024 to help secure the SURC for growing their Mountain Madness basketball tournament. We also provide umpires for EYBS at no charge other than the game fee for officials (no assigning fee or overhead). 2500 character limit We will promote lodging establishments through our website and mobile app with a third party (Lucid Travel) that works similarly to hotels.com or Expedia. Once we set the location on our registration, it advertises local hotels. We web wrap this onto our website in addition to emailing out to parents / coaches and sending a push notification to all registered families for each event. As for local restaurants and businesses, I met with the EDA this summer to discuss working together to establish a one pager or digital flyer to promote local business to families coming into town. 2500 character limit No Yes Response 5: Please explain what plans exist to allow this project to become self-sustaining. Include any plans for ticket sales, event sponsors, and other cost-recovery models.* We are self-sustaining, however, based on the location of Ellensburg there are certain expenses that are not incurred at other locations, primarily lodging for officials. Our plan is to continuing partnering with the college and high school baseball programs to train officials to limit the need to bring in quality officials from out of the area. The rental rate of fields isn't excessive but relative to surrounding areas - Yakima, Moses Lake and Wenatchee they are more expensive. In addition, those locations offer incentives through Sports Commissions, hotel partnerships and nominal facilities costs. In addition to training local officials, we have begun piloting a streaming service that can generate both ad-revenue and pay-per view. Since we are not the only users of these facilities, local high school and other local programming could utilize the streaming for fundraising. Depending on the pilot this fall and spring, we could present opportunities to become more profitable as well as financially benefit local programming at the same time. 2500 character limit Application Questions: Part 4 6| Additional Information Response 6.1: Provide any additional information which will assist the Lodging Tax Advisory Committee in evaluating your project and its benefit to tourism. Took existing numbers and added 13% Response 7.10: Please explain your methodology.* Please explain. Structured Estimate - Assumed every team (Basketball or Baseball) was comprised of 10 players. This is likely low as most baseball rosters carry at least 12. The actual number of teams is 100% accurate and where they came from is tracked at the team level (assuming most players on the team traveled a similar distance). For # of people per team, I assumed 1 player and 2 family members (likely hire with siblings and other family members). When it came to overnight numbers, I estimated based on 50% of the teams coming from over 50 miles stayed for 1 night. Most events are 2-3 days long, some are up to 4. This is a conservative estimate based on our experience. The threshold for lodging is typically 1hr 15min plus and Moses Lake and Wenatchee are right on that cusp, which does account for a 65 of the 451 teams from over 50 miles away. 2500 character limit Application Questions: Part 5 Yes No We are new to understanding how grants work and what are out there for small businesses to utilize 2500 character limit Response 8.3: What changes will be made if funding for your request is not available or recommended?* Matching Funds Percentage 9| Project Budget Overview Please complete budget for this project/proposal. Three largest expenses for us in Ellensburg are Field Rentals ($90,731.25 projected 26 budget) Lodging for talent ($23,683.36) and actual cost of officials. The solve is to utilize cheaper facilities (change locations) train more local officials (not require lodging). Most locations we run events, we attempt to be at 35- 40% margin prior to overheads and we clear around 8-10% margin as a business (still waiting to close out 2025). Our Central Washington events are 15% margins, pre-overhead. 2500 character limit. 330.81 This field will auto fill with the correct percentage based on your input to budget section below. 2023 2024 2025 2026 LTAC Grant Funding 0.00$0.00$0.00$114,414.61$ Other Revenues Entry Revenue 0.00$0.00$329295.00$378500.00$ In-Kind Contributions For any claimed in-kind contributions valued at $500 or more and related to marketing/advertising, you must submit verifying documentation which assures the contribution will be provided. 0 0.00$ Past Actual 3 Past Actual 2 Past Actual 1 Projected Expenses Expense Item Past Actual 3 Past Actual 2 Past Actual 1 Projected Expense Totals Profit & Loss Past Actual 3 Past Actual 2 Past Actual 1 Projected The applicant hereby certifies and affirms: 1.
