Action Requested:
Approve Resolution authorizing $25,000 for advance funds for County Fair and sponsored events
Summary:
• Pursuant to County Cash Handling Policy (excerpt attached), BOCC must authorize via resolution each
petty cash “account”.
• Per regular annual convention, this resolution establishes a $25K cash account for Independence Day
and County Fair events, July 3rd, and Sept 1-5, respectively.
• This cash is used primarily for tills and prizes, where routing such expenses through the regular AP
process is not practical or timely.
• Wherever possible, other event and fair expenses will be routed through the regular weekly AP process.
• Funds will be held in Events Center checking account and regularly accessed/replenished by staff
pursuant to cash handling policies.
• Funds will be returned to General Fund / Treasury on or around Nov 1, 2022.
• Finance Director proposes a revision to cash handling policy to be drafted for Finance Committee
consideration to eliminate the need for this formality, as the amounts and related policies/procedures
are within the appropriate scope of Finance Director authorization.
