Kittitas County Auditor - Agenda Staff Report <br />Prepared by: Brian Carlson, Budget and Finance Director <br />Agenda Date: June 7, 2022 <br />Topic: Funding Advance for County Fair and sponsored events <br /> <br />Action Requested: <br />Approve Resolution authorizing $25,000 for advance funds for County Fair and sponsored events <br /> <br />Summary: <br />• Pursuant to County Cash Handling Policy (excerpt attached), BOCC must authorize via resolution each <br />petty cash “account”. <br />• Per regular annual convention, this resolution establishes a $25K cash account for Independence Day <br />and County Fair events, July 3rd, and Sept 1-5, respectively. <br />• This cash is used primarily for tills and prizes, where routing such expenses through the regular AP <br />process is not practical or timely. <br />• Wherever possible, other event and fair expenses will be routed through the regular weekly AP process. <br />• Funds will be held in Events Center checking account and regularly accessed/replenished by staff <br />pursuant to cash handling policies. <br />• Funds will be returned to General Fund / Treasury on or around Nov 1, 2022. <br />• Finance Director proposes a revision to cash handling policy to be drafted for Finance Committee <br />consideration to eliminate the need for this formality, as the amounts and related policies/procedures <br />are within the appropriate scope of Finance Director authorization. <br /> <br />• Attachments (2): <br />o Resolution Establishing 2022 Fair-Events Petty Cash <br />o County Cash Handling Policy (petty cash excerpt) <br />o Resolution 2021-092
