Kittitas County <br />Prosecutor <br /> <br />Agenda Staff Report <br /> <br />AGENDA DATE: <br />5/18/2021 <br /> <br />ACTION REQUESTED: <br />Sign Professional Services Agreement between Modus Technology and Kittitas County Prosecutor's Office <br />to scan and digitize office records <br /> <br />BACKGROUND: <br />Many of our closed files which have not met retention are located in boxes in two basement storage rooms <br />in the Courthouse. We also have Civil and Administrative paper files. These files are organized by year, <br />but beyond that are not well organized for easy access. Searching for necessary files (for appeals, PDRs, <br />PRPs, victim restitution, etc.) is time-consuming. There is not complete confidence in the location of <br />records or any staff’s ability to locate any given record. Our office has been working on reorganizing and <br />indexing these basement records over the last few years, by first focusing on our serious offender cases <br />(class A felonies) and our criminal appeal cases with their corresponding original criminal file as time <br />allows. We do not have any staff that can dedicate a large portion of their time to the project. <br /> <br />The grant funds would be used to hire an agency to digitize the records. <br /> <br /> <br />INTERACTION: <br />Our office originally applied for the Law & Justice Grant for this project and the Auditor called to say there <br />are O&M funds for this project. <br /> <br />RECOMMENDATION: <br />Sign Professional Services Agreement <br /> <br />HANDLING: <br />Return a copy to the Prosecutor's Office <br /> <br />LEAD STAFF: <br />Elishia Harvill <br />
