03/10/2020 MINUTES 1 <br /> COMMISSIONERS' MINUTES KITTITAS COUNTY, WASHINGTON COMMISSIONERS CONFERENCE ROOM SPECIAL MEETING <br /> TUESDAY 3:30 P.M. MARCH 10, 2020 <br />Board members present: Chairman Brett Wachsmith, Vice-Chairman <br />Laura Osiadacz, and Commissioner Cory Wright. <br /> Others: Julie Kjorsvik, Clerk of the Board; Dan Carlson, CDS <br />Director; Kady Porterfield, Event Center Director; and Mark Cook, <br />Public Works Director/Interim Engineer. <br /> SPECIAL MEETING COMMITTEE STAFFING/EVENT CANCELLATIONS COMMISSIONERS <br />At 3:30 p.m. Chairman Wachsmith opened a Special Meeting to discuss <br />Committee Staffing and a policy for canceling events at the Event <br />Center. <br /> <br />There was discussion on the Staffing of the Airport Advisory <br />Committee meetings. Mark Cook, Public Works Director/Interim <br />Engineer said Candie is not available to Clerk the meeting and there <br />is no one else to take minutes on Wednesday evening. The Board <br />directed Mr. Cook to work with the Commissioners Staff to live <br />stream it so the minutes can be drafted after the meeting. There <br />was discussion on possibly having Public Works cover the Clerk <br />duties for COG meetings and CDS cover the Airport Advisory Committee <br />meetings. Another discussion will be needed in the future to decide <br />on the long-term coverage of the committees. <br /> <br />Kady Porterfield, Event Center Director said they’ve had 5 events <br />cancel their reservations due to concerns over COVID-19. She <br />reported on the stakeholders meeting she’s been attending to gather <br />information on the mitigation measures people are taking around the <br />State with the growing concern of the COVID-19. She said according <br />to the contract if the customer notifies the Event Center at least <br />30 days before their event of the cancellation they will refund all <br />but 25% of their rental fee. Otherwise if the event is cancelled <br />less than 30 days before, they do not get any of their money <br />returned. She said the groups that have cancelled have a lot of <br />elderly people that attend their event and they are more susceptible <br />to COVID-19. <br /> <br />The Board agreed to allow the Event Center to refund 75% of the <br />rental fee with less than 30 days’ notice, to groups who cancel <br />their event due to concerns of COVID-19, as long as there has been <br />no work or preparation done by the Event Center until things get <br />better.
