D. Cold Weather Shelter Activation <br />t. lnitial Activation Actions <br />Once determination of the activate date is made (likely November 15th) , the Program <br />Manager will notify the Shelter Coordinator, who will create the needed shifts in the <br />volunteer scheduling software and notify the staff and volunteers that the shelter plan is <br />being activated and volunteers are needed. <br />Volunteers will be invited by email and/or text message to the scheduling platform once <br />registered as a volunteer. <br />2. Volunteer Staffing <br />The Shelter Coordinator is responsible for approving volunteer shifts and overseeing the <br />scheduling of volunteers. <br />Volunteers are encouraged to sign up for a shift as early as possible after the shelters are <br />activated to reduce the workload of the Shelter Coordinator. <br />On the day of activation, the Volunteer Coordinator will send out a mass notification to <br />volunteers of the need for signing up for shifts. Volunteers can specify how they are <br />contacted - email, text message, or both. <br />There are generally three shifts available for volunteers <br />o Evening: The first shift runs from 6:00 PM until 9:00 PM. <br />o Morning: The second shift runs from 7:00AM until 9:00 AM. <br />o Shower Supervision: Monday and Thursday from 6:00 PM until 7:30PM <br />r Food Preparation: Flexible 4-hour shifts based on volunteer availability. <br />Each shift will have its own duties and responsibilities, as well as shared duties. These <br />duties are covered later in this handbook. <br />3. Activation Notification <br />Prior to the shelter season, the Shelter Coordinator will distribute both physical as well as <br />electronic flyers to any contacts who have signed up to be on the shelter notification list. <br />This includes any food banks, churches, private businesses and other partners in the <br />program that help get the word out about shelter activations. <br />Once the notification is received, the Shelter Coordinator should begin to organize and <br />prepare the supplies needed for the activation.
