KITTITAS COUNTY <br />BOARD OF COUNTY COMMISSIONERS <br />STAFF REPORT FOR <br />STUDY SESSION <br />Information Technology <br />STUDY SESSION DATE: 1/22/2024 <br />TOPIC: Discussion of staff report creation tool in CAMAS <br />ACTION REQUESTED: No Action - Information Only <br />LEAD STAFF: Zane Kinney <br />RECOMMENDATION: No action is sought; however, the IT staff are happy to receive <br />direction from the Board regarding this project. <br />BRIEFING SUMMARY: IT staff were requested by the Commissioners to create a tool <br />in CAMAS to aid staff in the creation of staff reports to be presented at all department <br />study sessions with the Commissioners. <br />BACKGROUND: Commissioners grapple with incomplete information and inconsistent <br />presentation when departments introduce agenda items in study sessions. Lack of <br />standardized staff reports hinders proper evaluation and informed decision -making. <br />DISCUSSION: Current Status: <br />The Business Applications Division has developed a form and workflow to ensure staff <br />reports contain all necessary information and adhere to the correct format for each agenda <br />item presented to the board. <br />While requiring attached staff reports for each agenda item would be optimal, significant <br />modifications to Agenderator are required. This document serves as an example of a <br />report created using the form and workflow. <br />Next Steps: <br />Following its meeting with BOCC staff, IT has proposed a brief beta test involving <br />selected users. The completed tool will then be prominently referenced on the "create <br />new agenda" page. Based on beta testing results, IT may create training documentation. <br />However, due to the tool's simplicity, inline guides may suffice.
