• Schedules and organizes activities such as meetings, travel, events, and activities <br />for the organization. <br />• Performs desktop publishing. Creates and develops visual presentations for the ED. <br />• Establishes, develops, maintains and updates filing system for the ED and the <br />organization. Retrieves information from files when needed. Establishes, develops, <br />maintains, and updates library of industry, city, county trade publications. <br />• Organizes and prioritizes incoming digital information and phone calls. <br />• Handles tenant relations, fields inquiries from current and future tenants, tenant <br />invoicing, and relays tenant requests, complaints, and compliments. <br />• Performs A/P and A/R functions. <br />• Obtains payment approvals from ED and prepares checks for signature. <br />• Manages accounting entries in QuickBooks. <br />• Sorts and distributes mail and other forms of correspondence. Drafts written <br />responses or replies by phone or e-mail when necessary. Responds to regularly <br />occurring requests for information. <br />• Answers phones for the organization general number. Takes messages or <br />fields/answers all routine and non -routine questions. <br />• Acts as a liaison with other outside agencies, including high-level staff such as <br />CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non- <br />routine information and explains policies when necessary. <br />• Works independently and within a team on special nonrecurring and ongoing <br />projects. Acts as project manager for special projects, at the request of the ED, <br />which may include planning and coordinating presentations, disseminating <br />information, coordinating direct mailings, creating brochures. <br />• Coordinates with administrative assistants and points of contact in other external <br />community organizations, both public and private. <br />• Types and designs general correspondences, memos, charts, tables, graphs, <br />business plans, etc. Proofreads copy for spelling, grammar, and layout, making <br />appropriate changes. The recommendations found in our September 2022 staffing study <br />include creating a new position and expanding an existing position. <br />As context: Staffing for CenterFuse, Ellensburg's Business Development Authority <br />(EBDA), has transitioned over time. Shortly after being established in 1994, EBDA hired <br />a full-time Executive Director and support staff to manage daily operations and projects. <br />Around 2004, the EBDA, (then called the Economic Development Group of Kittitas <br />County and Phoenix Economic Development Group) using the City of Ellensburg's <br />authority in city code chapter 1.62 and by action of Ellensburg City Council, determined <br />the staffing of the EBDA to be on a contractual basis with the Kittitas County Chamber <br />of Commerce.
